What this notice covers
This notice covers this website’s coaching applications, masterclass, purchases and programme administration. Clinic and Neuropharmica enquiries have different purposes and recipients, explained on their enquiry forms. They do not subscribe you to coaching or marketing.
Information and purposes
We collect contact details to respond, provide requested access and purchases, arrange calls and manage participation. Coaching applications and assessments include health information, symptoms, goals and exercise history used to assess suitability and plan support. Provide only relevant information. An automated suitability result is not a diagnosis.
We keep bookings, programme dates, correspondence, consent and signed agreements, and payment references and statuses. Stripe processes card details; our CRM does not store full card numbers. Verification tokens, session records and technical logs help operate and secure the service. Without information necessary to provide a service, we may be unable to provide it.
Who handles information
Joseph is the only person authorised within the business to access coaching records. Service providers process information needed for their roles: Cloudflare provides hosting, database, private file storage, access protection and bot checks; Resend sends transactional emails; Microsoft 365 receives emails and Outlook manages bookings; Zoom provides calls; Stripe processes payments. Coaching application answers, including supplied health information, are stored in the CRM and emailed through Resend to Joseph’s Microsoft 365 inbox.
Support uses WhatsApp or another channel agreed during onboarding, with contact details shared after enrolment. We explain the selected channel before you use it. Avoid sending unnecessary sensitive information. Support is not an emergency service.
Recordings
Onboarding, assessments and weekly coaching calls require separate, explicit recording consent. Attendance alone is not consent. Assessment recordings support programme planning; other call recordings support Joseph’s private learning and review. They are not client replays or marketing material and are not shared for others to view. Zoom computer recordings are saved on Joseph’s computer and backed up to his private Microsoft OneDrive account.
No recording is made without consent. If you decline before onboarding begins and do not proceed, the agreement provides a full refund. Withdrawing consent stops recording and pauses sessions while cancellation and payments are reviewed under your agreement and applicable rights.
Overseas processing
Providers may process information outside Australia. Resend stores data in the United States; Zoom and Microsoft operate internationally, including in the United States. Cloudflare and Stripe also use international infrastructure and service providers. Locations depend on the service and account settings; we do not promise Australian-only storage. Provider information is available from Resend, Microsoft, Zoom, Cloudflare and Stripe.
Retention and protection
Our retention target for recordings and written coaching records is one year after programme completion or cancellation. For someone who never starts, it begins when their application is closed. Records are then reviewed for secure deletion, including local files and backup copies. Longer retention applies where required by law or reasonably necessary for a complaint, dispute or legal claim. Payment, accounting and signed-agreement records may require separate retention. This is not automatic deletion at one year.
We restrict administrative access and use protected document and media routes. No storage or transmission method can guarantee absolute security. Backup copies and service-provider retention may affect when deletion is completed.
Your choices and concerns
Health-information consent, agreement acceptance and marketing choices are separate. Signing up, applying or buying does not itself subscribe you to marketing. Contact Joseph to request access, correction or deletion, withdraw consent, or raise a concern. We may verify your identity and explain any lawful restriction on a request.
We acknowledge complaints within two business days and aim to resolve them within 30 calendar days, providing updates if more time is needed. You may also contact the Office of the Australian Information Commissioner about a privacy complaint.
